Sports Booking Management — field and court scheduling software built by Blacktie Collaborative

The Challenge

Most sports facilities still run their calendar through phone calls, texts, and a shared spreadsheet. Every booking costs staff time, every change risks a double-booking, and any hour nobody phones about is an hour that earns nothing. The facility is open, the field is empty, and there is no way for a customer to book it at 9pm on a Sunday.

The existing software options mostly target large enterprise venues — heavy to configure, priced past what a single-diamond or two-court operator can justify, and typically English-only in a market where a large share of facilities operate in French.

Our Approach

1

Made the public booking page require no account

The single biggest drop-off in facility booking is forcing a customer to register before they can reserve an hour. Public booking pages take a reservation without an account, so the path from "is the field free Thursday" to a confirmed booking is as short as it can be.

2

Built the venue model to fit small operators and multi-site alike

Venues, operating hours, rate tiers, and approval workflows are all configurable per site. A single-court operator can be live in an afternoon; a multi-location complex can model different rates and permissions per venue without a custom build.

3

Shipped it trilingual from the start

English, French, and Spanish are supported at the product level rather than bolted on later — which matters in Canadian markets where a facility genuinely needs to serve customers in both official languages.

What It Does

Interactive calendar with real-time availability

Core

Daily, weekly, and monthly views across every venue, with live availability so staff and customers are always looking at the same picture. No more reconciling a paper book against a phone message.

Multi-venue, roles, and approval workflows

Operations

Team members get role-based permissions, each venue carries its own hours and rate configuration, and bookings can route through an optional approval step for facilities that want a human in the loop.

Automated reminders

Revenue

No-shows are the quiet revenue leak in facility management — an hour blocked out and then not used cannot be resold. Automated reminders close that gap without staff chasing anyone.

Revenue calculator on the marketing site

Conversion

Rather than asserting a benefit, the site lets an operator enter their own field count, hours, rate, and current utilization and see the gap themselves. Self-calculated numbers convert better than claimed ones because the visitor supplies the inputs.

Product Snapshot

Build and packaging figures. The utilization and no-show percentages quoted on the product site are its own marketing claims and are not presented here as measured agency results.

Key Takeaways

  • Removing the account requirement from public booking is the highest-leverage conversion decision in this category
  • A free tier that is genuinely usable beats a time-limited trial for software an operator adopts seasonally
  • Multi-language support is a market requirement in Canada, not a nice-to-have
  • Let prospects calculate their own upside rather than asserting a percentage at them
